How do I set up a Google Calendar invite?
Updated over a week ago

Setting up a Google Calendar invite is straightforward. Here’s a step-by-step guide:

1. Open Google Calendar: Go to Google Calendar either through your web browser (calendar.google.com) or the Google Calendar app on your mobile device.

2. Create Event: Click on the day and time you want to schedule the event. This opens a new event window.

3. Verify the Correct Time Zone: Ensure the event is scheduled in the correct time zone to avoid confusion for attendees in different locations.

4. Enter Event Details:

Title: Enter a title for your event.

Date and Time: Specify the date and start/end time for the event.

Location: Add the location of the event, either by typing in an address or selecting a meeting room if integrated with Google Workspace (formerly G Suite). If the meeting will be held virtually via Zoom or another platform, include the meeting link in the event description or location field. Double-check that the link is accurate and accessible to all attendees.

Description: Optionally, add a description to provide more details about the event.

Add Guests: In the “Add guests” field, enter the email addresses of the people you want to invite to the event. They will receive an email invitation with the event details and can RSVP.

5. Notification Settings: Set up notifications to remind attendees of the event. Choose from options like email reminders or pop-up notifications on their devices.

6. Other Options:

Repeat: If the event recurs regularly (e.g., weekly meetings), you can set it to repeat. If the event recurs indefinitely or until further notice, select the 'No end date' option when setting up recurring events.

Visibility: Choose whether the event is public, private, or only visible to invited guests.

Attachments: Attach files related to the event, such as agendas or presentations.

Save: Once you’ve entered all the details, click on “Save” to create the event and send out the invitations to your guests.

RSVP and Updates: Guests will receive an email invitation and can RSVP directly from their email or through Google Calendar. As the event organizer, you will see their responses in your calendar event details.
